Vintage Wine Cellars

Privacy Policy

Last updated: October 18, 2026

Vintage Wine Cellars, LLC ("we," "us," or "our") operates VintageWineCellars.net, VintageWineCellarsTastingRoom.com, and vwc.me. This policy explains how we handle personal information in connection with our websites, purchases, store interactions, events, gift cards, rewards, and communications.

1. Information We Collect

  • Contact and account information: your name, email address, phone number, addresses, account credentials, and preferences.
  • Purchase and service information: products viewed or purchased, order and delivery details, payment status, transaction references, returns, inquiries, and related correspondence.
  • Gift and event information: recipient names and contact details, gift messages, gift-card delivery and redemption information, ticket purchases, and attendee information you provide.
  • Rewards and marketing information: points, tiers, reward activity, preferences, consent and opt-out records, and responses to our communications.
  • Age and identity information: information needed to verify lawful alcohol purchases, resolve account or gift-card ownership, and prevent fraud. Depending on the interaction, this may include date of birth or information reviewed from identification.
  • Technical and usage information: IP address, browser and device information, cookie or similar identifiers, page visits, referral information, searches, shopping activity, timestamps, and diagnostic logs.
  • Information you choose to submit: reviews, photographs, preferences, messages, and responses to optional forms or surveys.

We collect information directly from you, automatically through our services, and from people arranging a gift or booking for you. We also receive relevant information from payment, delivery, communications, and other service providers. We may bring together information from online and store interactions to recognize the same customer, maintain accurate records, and apply preferences.

Payment details are processed through payment providers such as Stripe. We receive transaction information and payment-method details needed to administer purchases, refunds, and fraud prevention. Do not send full payment-card numbers or account passwords in ordinary correspondence.

2. How We Use Information

  • Operate accounts, process payments, fulfill purchases, deliver gifts, administer tickets, and provide customer support.
  • Verify age and identity, comply with alcohol-sale requirements, prevent fraud, and protect customers and systems.
  • Administer rewards eligibility, points, benefits, and account activity.
  • Maintain preferences and communication permissions, send appropriate service messages, and provide lawful marketing.
  • Understand purchasing patterns and website use, improve our selection and services, and diagnose technical problems.
  • Keep business and compliance records, resolve disputes, and meet legal obligations.

We may use purchase history and preferences to make product recommendations and select relevant offers. A marketing opt-out does not prevent us from keeping transaction records or sending necessary, lawful service communications.

3. Cookies, Local Storage, and Analytics

We use cookies and similar browser storage for account sessions, carts, preferences, and measurement. Some technologies are needed for requested features. Others help us understand how the website is used.

We use PostHog for website analytics. Analytics information can include visits, selected shopping interactions, device information, and persistent identifiers. When you sign in, we may associate earlier browsing on that browser with your customer identity and provide your name and email address to our analytics service so we can understand customer activity across interactions. These records are not necessarily anonymous.

We also use Google Analytics to understand website traffic and use. Google Analytics can collect browser and device information, page visits, referral information, and identifiers through cookies or similar technologies. Google's processing depends on the service configuration and applicable Google terms. Learn more in How Google uses information from sites or apps that use its services and Google's Privacy Policy.

Session replay is disabled on our public production storefront. We do not describe ordinary analytics as anonymous merely because it uses an internal identifier.

You can use your browser settings to block or delete cookies and other site storage. Blocking necessary storage can interfere with login, carts, and other features. Deleting storage does not automatically erase information already held in our systems. Settings may need to be applied separately on each browser and device.

Google also provides information about its Analytics opt-out browser add-on for supported browsers and analytics implementations. That add-on does not disable our other analytics tools or delete existing records.

Our website does not currently provide a separate response to browser "Do Not Track" signals. This does not limit rights under applicable law. To ask about privacy choices or exercise an applicable right, contact us using Section 11.

4. When We Disclose Information

We disclose relevant information to:

  • Service providers: companies supporting payments, hosting, data storage, website analytics, email and messaging, fraud prevention, order fulfillment, shipping, and customer support.
  • People involved in your transaction: a gift recipient, authorized pickup person, or event organizer when needed to carry out the transaction. A gift purchaser may receive delivery or redemption-status information about the gift.
  • Professional advisers and authorities: where reasonably necessary for legal advice, accounting, compliance, lawful requests, security, fraud investigation, or the establishment or defense of legal claims.
  • A business successor: in connection with a proposed or completed merger, financing, reorganization, or sale, subject to applicable confidentiality and privacy requirements.
  • Others at your direction: when you request or authorize the disclosure.

We disclose information needed for the relevant purpose and require appropriate protections from providers acting on our behalf. Some providers also process information under their own legal obligations and privacy policies. We do not promise that a payment provider or carrier never retains records.

We do not sell customer contact lists to outside marketers or provide those lists for an outside business's independent marketing. We do not buy or sell advertising or use customer information to run third-party advertising campaigns. We use analytics to understand and improve our own business. Providing information to an analytics service is nevertheless a disclosure to that provider, and its handling of information depends on the applicable terms and settings. If we introduce a practice requiring additional privacy disclosures, consent, or an opt-out mechanism, we will provide them before that practice applies where required by law.

5. Marketing Choices

We use customer contact information for our own marketing where permitted by law and consistent with applicable preferences. You may unsubscribe from promotional email using the link in a message or contact us for assistance. Where text messaging is offered, you may opt out using the instructions in the message, including replying STOP.

Providing a phone number for an order or account does not by itself authorize automated marketing texts. Text enrollment requires the applicable consent. See Email & Text Messaging.

Rewards participation depends on the eligibility rules described in our Rewards Program Terms, including an eligible marketing channel. You may withdraw marketing permission at any time. Ordinary purchases do not require rewards enrollment or marketing-text consent.

Information supplied by a purchaser about a gift recipient is used to administer the gift. A purchaser cannot give marketing-text consent on the recipient's behalf. Any marketing to a recipient remains subject to applicable law and the recipient's preferences.

6. Retention

We retain information for as long as reasonably needed for the purposes described in this policy. The period depends on the information, the transaction, legal recordkeeping requirements, unresolved claims, fraud prevention, outstanding gift-card obligations, and other legitimate business needs.

Closing an account or requesting deletion does not necessarily require removal of purchase records, legally required verification records, or information needed to honor outstanding balances. We may retain limited suppression records so we do not send marketing to someone who opted out.

7. Security and Processing Locations

We use reasonable administrative, technical, and physical safeguards appropriate to the information we handle. No website, transmission method, or storage system is completely secure. Protect your credentials and notify us promptly of suspected unauthorized access.

We operate in the United States and use providers that may process information in the United States or other locations. Where applicable law requires safeguards for a transfer, we are responsible for addressing those requirements. Visiting the website alone is not treated as a substitute for legally required transfer safeguards.

8. Access, Corrections, Deletion, and Other Requests

You may update available account details through your account or contact us about accessing, correcting, or deleting personal information. Depending on where you live and which laws apply to our business, you may have additional rights to obtain a copy, restrict certain uses, opt out of certain processing, or appeal a decision.

Contact us using Section 11, describe your request, and provide enough information for us to locate the relevant records. We may reasonably verify your identity or an agent's authority before acting. Do not include unnecessary sensitive information. We will respond within the timeframe required by applicable law and explain any applicable exception or refusal.

If you believe we have incorrectly refused a request, contact us again, identify the decision, and ask us to review it. We will explain any applicable appeal process or further rights. We will not retaliate against you for exercising a protected privacy right. Lawful rewards eligibility requirements are described separately in the Rewards Program Terms.

9. Children, Public Submissions, and Other Websites

Our alcohol sales and related services are intended for adults 21 and older. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact us so we can investigate and take appropriate action.

Information you submit for public display, such as a published review, can be read by others. Do not include private contact or financial information in it. Separate websites and third-party features have their own privacy practices.

10. Changes

We may update this policy to reflect our practices or legal requirements. We will publish the updated version and date and provide additional notice or obtain consent when required. A policy update does not by itself authorize a materially different use of previously collected information where the law requires more.
